1. Introduction

This Privacy Policy explains how we collect, use, and protect information when employees and authorized personnel use the app.

Accounts are created, approved, and managed by Road Safety Inc. or authorized company administrators. Users will need to contact helpdesk@roadsafetyinc.net for account creation.

2. Information We Collect

We may collect or process the following types of information:

• Account and Identity Information: We process account information such as name, email address, user ID, employee/contact ID, role or access status, and authentication status. Accounts are provisioned and managed by Road Safety Inc. or authorized company administrators.
• Authentication Information: The app may process authentication tokens or session information needed to keep users signed in and securely access company systems.
• Timecard Information: The app may collect and process timecard-related information submitted by employees, including work date, clock-in and clock-out times, lunch or break information, submitted time, timecard status, and related approval or audit information.
• Signature Information: If a user signs and submits a timecard, the app may collect and store the submitted signature as part of the timecard record.
• Work Content: The app may collect content employees submit through the app, such as forms, photos, notes, and messages.
• Device and App Information: The app may process app version, device identifiers used to deliver notifications, and crash or diagnostic reports used to keep the app working. Authentication, hosting, and security systems may process ordinary technical request information needed to operate and protect the service. If these data practices change, this policy will be updated before those changes are released.

RSI Home 2.0 collects location information while an employee is clocked in and working. Location is not collected during meal breaks or after clocking out, and the app does not request background location access. The app also records a single location point when a punch, timecard, or form is submitted.

3. How We Use Information

We use the information described above to:

• Provide and operate the RSI Home 2.0 mobile application.
• Authenticate authorized employees and manage secure access.
• Allow employees to view, create, submit, or update timecard information.
• Maintain payroll, operational, audit, and administrative records.
• Protect the security and integrity of Road Safety Inc. systems.
• Respond to user-reported issues, maintain service reliability, and support secure operation of the app.
• Comply with legal, employment, payroll, audit, and recordkeeping obligations.

4. Account Access and Management

Accounts are created, approved, and managed by Road Safety Inc. or authorized company administrators.

If an employee needs account access changed, corrected, disabled, or removed, they should contact their manager, HR, payroll, or system administrator using the contact information below.

5. Data Sharing and Disclosure

We do not sell personal information collected through RSI Home 2.0, and the app does not use advertising SDKs, tracking SDKs, or cross-app tracking.

We may share information only as needed for the following purposes:

• Internal Operations: With authorized Road Safety Inc. personnel who need access for operations, payroll, administration, support, compliance, or auditing.
• Service Providers: With trusted service providers who help operate authentication, hosting, storage, security, or related business systems, subject to appropriate confidentiality or contractual obligations.
• Legal or Compliance Requirements: When required by law, regulation, legal process, payroll obligations, employment obligations, audit requirements, or valid government request.
• Safety and Security: When necessary to protect the rights, property, safety, or security of Road Safety Inc., its employees, users, systems, or the public.

Where service providers process personal information for RSI Home 2.0, we require them to protect that information using safeguards consistent with this Privacy Policy and to process it only for authorized business, security, hosting, authentication, storage, or support purposes.

6. Data Security

We use reasonable technical and organizational safeguards designed to protect information against unauthorized access, alteration, disclosure, or destruction. However, no electronic transmission or storage system can be guaranteed to be completely secure.

7. Data Retention

We retain information for as long as necessary to operate the app, support Road Safety Inc. business processes, maintain payroll records, satisfy audit requirements, resolve disputes, enforce agreements, and comply with legal obligations.

Timecard, signature, payroll, audit, and employment-related records may be retained for longer periods where required or appropriate for business, legal, compliance, or recordkeeping purposes.

8. Your Rights and Choices

Depending on your jurisdiction, you may have rights to access, correct, or request deletion of certain personal information.

Because RSI Home 2.0 is an internal employee application and certain records may be required for payroll, employment, audit, safety, or legal purposes, some information may not be deleted immediately or may need to be retained as required by law or legitimate business obligations.

9. Third-Party Services

The app uses service providers and software components to support authentication, API/backend hosting, storage for timecard signatures and records, security, and mobile runtime operation. These services and components include Road Safety Inc. authentication using Logto/OIDC, the RSI Home 2.0 API/backend, storage used for timecard signatures, Expo/React Native runtime components, the Logto RN authentication SDK, and Sentry for crash and error reporting. RSI Home 2.0 does not include advertising SDKs, cross-app tracking, or marketing analytics.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated policy at this URL. The “Effective Date” at the top of this page indicates when the policy was last revised.
